How to use the VDR as an invited user?

If you've been invited to a VDR, here's how to start using it and navigate in the VDR.

1. Accept the invite by clicking the link in the email and following the instructions on the page. Note that you can accept the invite and login to the service with Microsoft 365 SSO, Google SSO or by creating your own password.

2a. If you've been invited to a SmartIndex VDR, you will land to a page like this.




You can search by the names of the folders and documents by typing to the text search box. By clicking the contract, meeting or entity name, you can open the Item Details which includes the key information of that item and the attachments. 

You can open and close the folders by clicking on the folder name.

You can mark the documents as favorites, and you can mark the documents and attachments as reviewed. Then, you can filter the documents in the index by favorites, reviewed or unreviewed. The reviewed/unreviewed will show you only the items (i.e. contract, meeting or entity) marked/unmarked as reviewed, so it will not take into account the markings of the attachments. Please note that in both normal and SmartIndex VDRs, the reviewed and unreviewed marks are user group based. Meaning that if someone from the same user group has marked a document or attachment as reviewed/unreviewed, it will marked for all users in that group.  


2b. If you've been invited to a normal VDR, you will land to a page like this.




You can search through the documents in multiple different views:

Folder View
Here you can find the documents organized by the main categories (e.g. Contracts, Board Meetings). You can find the documents from any of the folders they have been added to by the VDR admin.

Search View
Here you can find a list of the documents in each category, and you can use the search filters to narrow down the search.

By Category
Here you can see a list view of all documents organized by the main categories (e.g. Contracts, Board Meetings). 

By Common Tags
Here you can see a list view of all documents organized by the Common Tags, if the VDR organizer has used them. You can export the metadata of all the documents in the VDR by clicking the Export to Excel button on the bottom of the page.

List View
Here you can see a list of all the documents organized by their categories. You can export the metadata of all the documents in the VDR by clicking the Export to Excel button on the bottom of the page.  

Q&A
You can ask questions in the Q&A section. When you post a message to the Q&A, an email notification will be sent to the administrators and all users in that access group. All users in that access group will see the message. 
A typical question might be that you don't see all the material in the VDR that you should see, then you should contact the VDR administrator through the Q&A.

Please note that in both normal and SmartIndex VDRs, the reviewed and unreviewed marks are user group based. Meaning that if someone from the same user group has marked a document or attachment as reviewed/unreviewed, it will marked for all users in that group.

Note: If you cannot download the PDF files in the VDR, please contact the administrator. They can enable/disable the downloading. However, please note that you can always download any other file types that are added to the VDR.
