How to use the metadata extraction powered by Azure OpenAI?

Our AI Assistant accelerates the importing process of your documents and ensures accurate tagging, making it easier to search and report. Please note that the metadata extraction is currently available only in the Contract Management categories. Also, if you don't see the extract icon, you do not have the access rights for the feature. Please ask your account administrator to grant the access.

You can use the metadata extraction for your existing or new documents. To use it for the existing documents: 

  1. Go to edit any contract/document.
  2. Click the 'Extract metadata' icon on the right side of the file you want to extract the metadata from.
  3. You can either wait on the page or leave and come back to review the extracted metadata later (it might take even a couple minutes the extract).
  4. Click the 'Review the extracted metadata' icon next to the attachment.
  5. On the opening page, you can approve and apply the suggestions. If you don't want to approve everything, you can remove the suggestions. If you need to edit the suggestions, approve it first and edit the metadata once they are applied to the metadata card.

To use it for new documents, you can either create one new contract and do the above-mentioned steps, or you can upload multiple documents with the mass import tool: 
  1. Click the plus icon in the header to start the import and upload more than one file.
  2. Select the Contract Management category and choose 'Each file as a separate item' for the import method.
  3. On the opening Mass Import page, click the 'Extract metadata' button on the right side of the page. This will start the extraction process for all files you are uploading.
  4. Add the metadata for the documents you are importing and click 'Save' on the mass import page. 
  5. Note: You need to review and apply the suggested metadata to the imported documents. So, go to edit all documents one by one to review and apply the suggested metadata (i.e. do the steps from the above numbered list starting from 4. Click the 'Review the extracted metadata'...).
