The access rights in ContractZen can be set separately for each user. The service has three different levels of access rights:
- The first level are the categories, for example, Contracts, HR, Finance&Admin, Board Meetings and Entity Management. In each category, the user can have Full Access, Read-only or No Access.
- The second level are the Contract Types in the Contracts category, for example, Sales, Purchase and NDA.
- The third level is the Confidential. If you tag a document as Confidential, then only users who have access rights to confidential material can see it.
Then there’s also some other rights such as Invitation (who can invite new users), eSigning (who can send documents for eSignature), Dataroom (who can create datarooms) and Administrator.
Please note: You can give certain access rights (e.g. the admin and invitation rights) only after the user has accepted the invitation.
Below screenshot shows the access rights per user.
Note: Users cannot see the categories (contract types or confidential) they don't have access rights to. For example, if a board member has access rights only to Board Meetings, that user will go straight to board meetings page when signing in, and the user will not see any other categories in their account.
Also, please note: If you don't select a Type for a contract in the Contracts category, the contract is visible to all users who have access rights to Contracts, regardless of their Contract Type access rights. So, remember always to select a type for your contracts. Tip: Admins can make the type field required, so the users cannot add contracts without selecting a type.
PS. In case you need very detailed access control, it can be done with Access Groups. It is an additional service with an extra fee. Please see our in-app Store for more details (direct link: https://my.contractzen.com/Store, please note you need to be signed in to your ContractZen account and an admin to access the store).
